ReconLens vs Hubdoc: extraction you don't have to re-verify by hand
Hubdoc is bundled with Xero, and free is hard to argue with. But its 3.3-star rating on the Xero App Store (as of 2026) tells a consistent story: extraction errors you discover weeks later, and bank feeds that quietly stop syncing. An OCR tool you can't trust doesn't save time — it just moves the typing to checking. ReconLens takes the opposite approach: verify the math first, then show you exactly which rows need a human.
Side by side
| Dimension | ReconLens | Hubdoc |
|---|---|---|
| Verification of extracted data | Every statement is balance-checked: opening + transactions must equal closing (to $0.01), plus row-by-row running-balance checks. If it can't be verified, you're told — loudly. | Extracts key fields, but doesn't reconcile statement math. Errors surface when you (or your client's accountant) find them downstream. |
| Review workflow | Exceptions-only: verified rows are collapsed, flagged rows are on top with the original page image alongside. A 250-row statement typically needs 4–8 decisions. | No verified/unverified distinction — careful bookkeepers end up re-checking every extracted document against the source. |
| Bank statement handling | Purpose-built for full statements: extracts every transaction line, categorizes against the client's chart of accounts, exports import-ready CSVs. | Primarily a document collection tool — strong on fetching bills and receipts; statement lines are not its core workflow. |
| Categorization | Per-client chart of accounts with vendor memory that learns from each correction. Low-confidence categories are flagged, never guessed silently. | Supplier rules for coding documents to accounts; per-document rather than per-transaction-line. |
| Pricing | Free (50 pages), then $29–$99/month flat, unlimited clients. Details. | Included with Xero subscriptions (a real advantage if you're all-in on Xero); standalone pricing varies — check hubdoc.com. |
| Privacy & retention | Originals auto-delete after 90 days (configurable to 0). Never used for model training. Only last-4 of account numbers stored. | Positions itself as a permanent document archive; documents are retained long-term. Check their policy for details. |
| Automated fetch / feeds | No feeds by design — no feed to break. You or your clients send documents by upload or per-client email address. | Automated fetch from banks and utilities — when the connections work. Broken feeds are among its most-cited complaints. |

The core difference: trust, made checkable
Any OCR tool will misread a number eventually — including ours. The difference is what happens next. ReconLens runs the same arithmetic you would: opening balance + every extracted transaction must equal the closing balance, to the penny. When a statement prints a running balance, we verify it line by line and flag the exact row where the chain breaks. Statements that fail get a second extraction pass with a stronger model; if the math still doesn't close, the document is marked "couldn't verify" with every row expanded — it is never silently exported.
That's the difference between "the software probably got it right" and "the software proved it got it right, except these three rows — look at these."
When Hubdoc is still the better choice
- You're on Xero and mainly need document collection. Hubdoc is included with Xero subscriptions. If your workflow is "get bills and receipts into one place and attach them to Xero transactions," the bundled price is unbeatable.
- You depend on automated fetch. Hubdoc pulls documents from hundreds of banks and utility providers automatically. ReconLens doesn't do feeds — you or your clients send the documents.
- You want a permanent document archive. Hubdoc is built to retain everything indefinitely. ReconLens deliberately deletes originals on a schedule you control — that's a privacy feature for us, but the wrong shape if archiving is your goal.
If your pain is the monthly grind of turning statement PDFs and receipt photos into accurate, categorized ledger entries — and re-checking extractions has burned you before — that's the job ReconLens is built for.
The bottom line: Hubdoc collects documents and hopes the extraction is right. ReconLens proves the extraction is right, or tells you exactly where it isn't.
